Terms of Service

Welcome to AgentInABox. These Terms of Service ("Terms") govern your use of our cloud-based property management platform and services ("the Service"). By accessing, registering for, or using AgentInABox, you agree to be bound by these Terms. If you do not agree to any part of these Terms, please do not use the Service.
1. Acceptance of Terms
By creating an account, signing up for a subscription, or using the Service in any way, you accept and agree to be bound by these Terms, our Privacy Policy, and any other policies we publish from time to time. If you are using the Service on behalf of an organization, you represent and warrant that you have the authority to bind that organization to these Terms.
2. Service Description
AgentInABox is a cloud-based software platform designed for letting agents and property managers to manage properties, tenants, maintenance requests, compliance documentation, communications, and related business operations. The Service includes:
- Property and tenancy management
- Tenant and landlord self-service portals
- Email and SMS messaging capabilities
- Document storage and management
- Compliance tracking and reminders
- Calendaring and scheduling
- Reporting and analytics
Your access to the Service is provided "as is" and may be subject to availability and system performance factors beyond our control.
3. Account Registration and Responsibilities
To use AgentInABox, you must register for an account. You are responsible for:
- Providing accurate, current, and complete information during registration
- Maintaining the confidentiality of your login credentials and password
- Notifying us immediately of any unauthorized access to your account
- All activity that occurs under your account, whether or not authorized by you
- Compliance with all applicable laws and regulations in your use of the Service
You agree not to share your account credentials with unauthorized third parties and not to allow others to use your account. If you believe your account has been compromised, please contact us immediately at agentinaboxsales@gmail.com.
4. Subscription and Payment Terms
4.1 Trial Period
New accounts are eligible for a 14-day free trial. During the trial period, you have full access to the plan features you select. No credit card is required to start a trial. Your trial begins on the date you create your account.
4.2 Paid Subscription
When your trial period ends, your account will automatically convert to a paid monthly subscription unless you cancel before the trial expiration date. You agree to pay the monthly subscription fee shown at signup for your selected plan.
4.3 Billing and Payment
Billing is monthly and processed through Stripe on the same date each month (your "billing date"). You authorize us to charge the subscription fee to the payment method you provide. All fees are exclusive of applicable taxes, which you are responsible for paying if required by law.
4.4 Auto-Renewal
Your subscription will automatically renew at the end of each billing period unless you cancel. Cancellation must be requested through your account dashboard at least 7 days before your next billing date to prevent the next month's charge.
4.5 Pricing Changes
We may update subscription fees or plan features. Price increases will be communicated to you at least 30 days in advance, and your continued use after the 30-day notice period constitutes acceptance. If you do not accept a price increase, you may cancel your subscription.
4.6 Refunds
Subscription fees are non-refundable except where required by law. We do not offer refunds for partial months or unused portions of your subscription.
5. Data Ownership and Processor Role
You retain all ownership rights to any data, documents, or information you upload to or create within AgentInABox ("Your Data"). AgentInABox acts as a data processor and service provider on your behalf. We do not use Your Data for any purpose other than providing and improving the Service, except:
- To comply with legal obligations or court orders
- To protect our legal rights or prevent fraud
- With your explicit consent in writing
- To generate aggregated, anonymized analytics that cannot identify you or your agency
You are responsible for ensuring that Your Data complies with all applicable laws, including data protection regulations. For more information about how we handle Your Data, please see our Privacy Policy.
6. Acceptable Use Policy
You agree to use the Service only for lawful purposes and in accordance with all applicable laws and regulations. You specifically agree not to:
- Violate any laws or regulations, including housing and employment law
- Engage in harassment, discrimination, or threats against any person
- Interfere with or disrupt the Service, servers, or networks connected to the Service
- Attempt to gain unauthorized access to the Service or other users' data
- Reverse engineer, decompile, or attempt to discover the source code of the Service
- Remove, obscure, or alter any proprietary notices or labels on the Service
- Transmit viruses, malware, or any code designed to harm the Service or other users
- Use the Service to send unsolicited communications (spam) or for phishing purposes
- Store or transmit illegal content or content that infringes third-party rights
- Use the Service in any manner that could damage or overload our infrastructure
Violation of this Acceptable Use Policy may result in immediate suspension or termination of your account, at our sole discretion.
7. Intellectual Property
AgentInABox owns all intellectual property rights to the Service platform, including but not limited to the software code, design, interface, graphics, logos, and documentation ("Platform IP"). Your use of the Service grants you a limited, non-exclusive, non-transferable license to use the Platform IP solely for operating your agency using the Service.
You retain all rights to your agency branding, logos, and custom content. When you customize the Service with your branding (e.g., subdomain, logo, color scheme), you grant AgentInABox a limited license to display and use your branding only within the context of providing the Service to you.
You may not use AgentInABox branding or trade marks without our prior written consent. Any intellectual property you create using the Service (e.g., custom templates, reports) remains your property.
8. Service Availability and Support Level Agreement
We use reasonable efforts to maintain the Service and keep it available. However, we make no guarantee of 100% uptime. The Service may be unavailable temporarily due to:
- Scheduled maintenance (typically notified in advance)
- Emergency security patches
- Infrastructure issues beyond our control
- Third-party service outages (e.g., internet providers, payment processors)
We will make reasonable efforts to notify you of scheduled downtime. We are not liable for any damages or losses arising from temporary unavailability of the Service.

9. Limitation of Liability
To the maximum extent permitted by UK law, AgentInABox's total liability to you for any damages, losses, or claims arising from or relating to these Terms, the Service, or your use thereof shall not exceed the total amount you have paid to AgentInABox in the 12 months immediately preceding the claim.
In no event shall AgentInABox be liable for:
- Indirect, incidental, special, consequential, or punitive damages
- Loss of profits, revenue, data, or business opportunity
- Any damages arising from unauthorized access to or use of your account
- Any damages arising from your reliance on the Service or any information contained therein
These limitations apply even if we have been advised of the possibility of such damages. Some jurisdictions do not allow the exclusion of certain damages, so some of these limitations may not apply to you.
10. Termination
Either party may terminate this agreement at any time. You can cancel your subscription through your account dashboard. Cancellation will take effect at the end of your current billing period.
We may terminate your account or access to the Service immediately, without notice, if:
- You breach any material term of these Terms
- You violate applicable laws or our Acceptable Use Policy
- We reasonably believe your use poses a security risk to the Service or other users
- You fail to pay your subscription fees within 30 days of the due date
Termination of your account does not relieve you of payment obligations for fees already incurred.
11. Data Export and Deletion on Termination
Upon termination of your account, you will have a 30-day period to export Your Data from the Service (in compliance with UK data protection law, including the UK Data Act). To request your data export, contact us at agentinaboxsales@gmail.com.
After the 30-day export period, we will delete Your Data from our active systems within 90 days. We may retain Your Data in anonymized or aggregated form, or retain copies for legal, compliance, or backup purposes as required by law.
You are responsible for maintaining your own backups of any critical data. AgentInABox is not responsible for data loss following account termination.
12. Changes to These Terms
We may update these Terms from time to time. Material changes will be communicated to you at least 30 days in advance, either by email or by prominent notice on the Service. Your continued use of the Service after the 30-day notice period constitutes your acceptance of the revised Terms.
We encourage you to review these Terms regularly to stay informed of any updates.
13. Governing Law and Jurisdiction
These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to its conflict of law principles. You agree to submit to the exclusive jurisdiction of the courts of England and Wales for any legal proceedings arising from or relating to these Terms or your use of the Service.

15. Entire Agreement
These Terms, together with our Privacy Policy and any other terms or policies we publish, constitute the entire agreement between you and AgentInABox regarding the Service and supersede all prior agreements, understandings, and negotiations. If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in full force and effect.
